California Small Claims: Organize Your Evidence

A useful hearing file answers four questions: what happened, what proves it, what amount is requested, and how that amount was calculated. Start with that structure before printing a large stack of screenshots.

1. Write a short case summary

Describe the agreement or event, the problem, and the requested resolution in a few sentences. Keep disputed facts separate from conclusions. “The invoice shows a $900 payment on March 2” is more precise than “They took my money.” Mark missing information instead of filling gaps with assumptions.

2. Build one chronology

Use a table with date, event, source, and why it matters. Include facts that do not favor your position so you can explain them accurately. Preserve original messages, complete conversations, contracts, receipts, and photographs; use working copies for highlighting.

3. Give each exhibit a job

Create an index identifying the exhibit, its date, the fact it supports, and its page number. A clear photograph may show the condition of an item, but it may not show who caused it or the cost to repair it. Pair the photograph with the other proof needed for that point. Keep original files and avoid cropping away relevant context.

4. Reconcile the requested amount

List each claimed item, its supporting record, and the calculation. Account for refunds, credits, partial payments, and amounts already recovered. Identify estimates and disputed amounts separately. Do not count the same loss twice under different labels.

5. Plan the presentation and procedural checks

Prepare a short outline that connects each important fact to a specific exhibit. Separately confirm the correct parties, venue, claim limits, filing and service requirements, deadlines, and your court’s hearing instructions. An organized evidence file does not itself satisfy those procedural requirements.
